Position Summary:

Working under the direction of the Student Affairs Officer, the Student Affairs Administrator will provide support to the student affairs function of the MBA Office.

The incumbent will also be advising students, as well as overseeing the MBA International Exchange Program. S/he will work closely with the Program Administrator in organizing the Case Competitions and other events.

Primary Responsibilities:

– Lead info session(s) and welcome sessions for the student Exchange Program.

– Establish exchange numbers and ensure the balance of incoming and outgoing exchange students. Participate in the decision making of approving the applications.

– Provide oversight on the work of the clerical coordinator for tasks related to communication with students, collecting syllabi for course equivalencies, processing transfer credits, updating fact sheets and maintaining myCourses page. 

– Coordinate the logistics of the International Study Trip, i.e. ensure the appropriate visas are obtained, draft letters of confirmation to students, organize flights, etc.

– Provide one-on-one advising in person and via email.

– Prepare the expense reports for the MBA program as well as monitor the p-card expenses.

– Coordinate permits for non-management courses and trouble shoot issues pertaining to registration. 

– Lead information workshops related to registration, specializations, etc.

– Responsible for the maintenance of student records; overseeing grade changes, coding, reviewing Independent Study application. Coordinate final exam scheduling.

– Work with the Program Administrator in providing additional support in the planning of Basecamp; organize and participate in orientation activities.

– Assist in the admissions process for the Incoming Exchange program.

Other Qualifying Skills and/or Abilities

Proven ability to deal effectively and diplomatically in delicate situations. Demonstrated ability to prioritize and meet weekly and monthly deadlines.

Must be client-focused and service-oriented with a proven ability to deal with people at all levels. Strong attention to detail. Ability to work autonomously and as part of a team.

Demonstrated ability to work in a PC environment using word processing, spreadsheet, database and presentation software and ability to use e-mail as well as Minerva, Banner (SIS) and Crystal Reports.

Knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.

Minimum Education and Experience:

Bachelor’s Degree 1 Year Related Experience with Bachelor’s Degree / DEC III 3 Years Related Experience with DEC III

Annual Salary:

(MPEX Grade 03) $52,210.00 – $65,260.00 – $78,310.00
